1. Who is responsible

The data controller is Próximo Rol SpA ("Próximo Rol", "we"), Tax ID (RUT) 78.458.089-K, based in Chile, contact hello@proxicoach.com.

2. Scope and acceptance

This Policy applies to ProxiCoach, the platform operated by Próximo Rol SpA, in all its parts: the website, the web and mobile applications, CV analysis and the guided builder, the voice-based mock interview, the practice and self-knowledge modules, the career timeline, job-search management and the job catalogue, and the ProxiNote copilot. By creating an account or using the services, you accept the processing described here.

3. What data we process

We process only the data needed to provide the service:

• Account data: your email and, if you register with a password, an encrypted version of it. If you sign in with Google, we receive your email, name and profile picture (not your Google password).
• Professional content you provide: your CV and its content, your career timeline, your target companies and roles, your applications and notes.
• Voice and transcripts: in mock interviews, the audio of your answers is transcribed to text to analyze it. We process that audio and its transcript to generate your report.
• ProxiNote conversations: if you use the meeting copilot, we transcribe the audio of the conversation —including the voice of the other participants— in order to suggest answers to you, and we store that transcript in your account. In respect of those other people's data, you decide the processing and you are the controller; we act on your behalf. That is why the app requires you to commit, before each recording, to telling them out loud and obtaining their agreement.
• Generated results: interview reports, indexes, profiles, personality and aptitude analyses produced from your activity.
• Usage and technical data: usage metrics, consumed limits, session identifiers, IP address and browser data, to operate the service, meter usage and prevent abuse.
• Payment data: if you subscribe, payment is processed by our provider (Stripe). We do not store your full card details, only your subscription or purchase status.

5. Artificial intelligence

Part of the service uses third-party AI models to analyze your CV, run the interview, score your answers and draft text. To do so, the necessary content (e.g. your CV or interview transcript) is sent to the AI provider as a data processor, solely to generate your result.

Under our agreements with the AI provider, your data is not used to train its models. AI outputs are indicative and may contain errors; they are not an automated decision with legal effects on you.

6. Sign in with Google

If you choose "Continue with Google", Google shares your email, name and profile picture to create or identify your account. We do not access your Google password, emails, contacts or other Google data. This information is used only to authenticate you and operate your Próximo Rol account.

7. Processors and subprocessors

We rely on providers that process data on our behalf, under contract and only for the stated purposes:

These providers process data on our behalf and may not use it for their own purposes. If we add or replace a processor, we will update this table and, where the change is material, tell you in accordance with section 14.

8. International transfers

Some providers operate outside your country (e.g. the US or the EU). When we transfer data internationally, we do so with appropriate safeguards (standard contractual clauses or other valid mechanisms), in line with Law 21.719 and, where applicable, the GDPR.

9. Data retention

We keep your data while your account is active and for as long as needed to provide the service. If you delete your account, we erase or anonymize your personal content, except what we must retain by law (e.g. billing records). You can request deletion at any time (see section 10).

10. Your rights and how to exercise them

You may exercise your rights of access, rectification, erasure, objection, restriction and portability, and withdraw consent where processing is based on it. To do so:

• In the app: Settings lets you edit your information and delete your account and data.
• Email news: unsubscribe via the link at the bottom of each email.
• In writing: email hello@proxicoach.com and we will respond within legal timeframes.

If you believe your request was not handled properly, you may complain to the competent data protection authority.

11. Information security

We apply reasonable technical and organizational measures: encryption in transit, access control, service credentials never exposed to the browser, and role separation. No system is 100% infallible, but we work to minimize risk and act quickly on any incident.

11.1 Who on our team can see your content

We would rather say this outright than leave it implied: a very small part of our team can access the content of your account —your interview reports, your CV, your timeline, your companies and your "Get to know yourself" results— for two purposes and no others: supporting you when you ask for it, and understanding what works and what does not, in order to improve the product.

How we limit it:

• It requires a specific permission that is not included with being an administrator: it is granted person by person, explicitly.
• It is read-only. From that view nothing in your account can be modified, deleted or generated, and none of your allowance can be spent. It is built so that it cannot write.
• Every access is logged —who looked, at what, and when— in an audit trail, before the reading takes place.
• We never share that content with third parties, never use it for advertising, and never sell it.

For internal analysis and statistics we work, wherever possible, on data with direct identifiers removed (name, email, phone and personal links).

If you would rather we did not access your content unless you ask us to for a specific issue, write to hello@proxicoach.com and we will respect that decision. You may also ask us, at any time, for the record of accesses to your account.

12. Cookies and tracking

We use browser local storage to remember your session and preferences. On our marketing site we use Meta Pixel and Google Analytics to measure campaign and site performance. You can manage these from your browser settings or your Meta/Google account.

13. Minors

Our services are intended for adults. We do not knowingly collect minors' data. If you believe a minor has provided us data, contact us to delete it.

14. Changes to this Policy

We may update this Policy to reflect legal or service changes. We will post the current version on this page with its update date; if the change is material, we will notify you by reasonable means.
